Graduating Seniors Tech Advice

 

Dear Graduating Seniors,

 

The time is quickly drawing near when you will be moving on to the next chapter of your life’s adventure! The bittersweet element of this transition is that your username@bridgehamptonschool.com Google account will be deactivated and removed at the end of the school year

 

If you would like to preserve your files, photos, and Gmails from your username@bridgehamptonschool.com Google account, please follow the directions on the following pages. These directions will step you through using Google Takeout to copy/transfer your Google Drive documents and emails directly to a personal username@gmail.com account as well as using Google Takeout to archive/download your other Google items (e.g. Contacts, Google Photos) to a computer where you can subsequently import them to another storage solution.

PROCESS OVERVIEW

 

Steps 1-3 (COPY/TRANSFER):
You can copy/transfer Gmail and Google Drive documents directly from your username@bridgehamptonschool.com account into a personal username@gmail.com account. Steps 1 through 3 (below) will help you with this copy/transfer process.

 

Step 4 (ARCHIVE/DOWNLOAD):
Your current username@bridgehamptonschool.com account may also contain Contacts (in Gmail), Calendar Appointments, and Google Photos. These items will not be copy/transferred in steps 1 through 3. To preserve Contacts, Calendar Appointments, Google Photos, and any other items that are not transferred in steps 1 through 3, you can archive/download these files using Google Takeout. You will end up with a .zip archive file that you can download and import manually to your personal username@gmail.com account or any other location you see fit. Step 4 (below) will help you with this archive/download process.

 

STEP 1: ENTER A DESTINATION ACCOUNT (COPY/TRANSFER)


Step 1a: Make sure you’ve created a username@gmail.com account. You’ll need the login details for this account in Step 4.

 

Step 1b: Navigate a web browser to link with option to “transfer”
(Make sure you are logged in as your username@bridgehamptonschool.com account)

 

Step 1c: Enter a destination account. This is the username@gmail.com account referenced in Step 1a. Click
the “send code” button.

 

STEP 2: VERIFY YOUR DESTINATION ACCOUNT (COPY/TRANSFER)


Step 2a: Using another browser or device, check your username@gmail.com account for the confirmation code that has been sent to
you. To get the code, you will need to click the “Get confirmation code” button which will open up a new screen from where you can copy the confirmation code.

 

Step 2b: Return to your Google Transfer window and enter the confirmation code. Click
the “verify” button.


 

STEP 3: SELECT CONTENT TO COPY AND TRANSFER (COPY/TRANSFER)

 

Step 3a: You may choose to copy and transfer your Google Drive content and/or your Gmails to your personal username@gmail.com account. Simply select the option for each one you wish to copy/transfer and click the “start transfer” button.

 

Step 3b: You will be taken to a “You’re all set” window. It may take up to a week for the transfer to be complete and you will receive emails with the status of this copy/transfer at your username@gmail.com account.

 

STEP 4: ARCHIVE/DOWNLOAD OTHER GOOGLE CONTENT




 

Step 4a: Navigate a web browser to “takeout”
(Make sure you are logged in as your username@bridgehamptonschool.com account)

 

Step 4b: Select the data you would like to archive
and download from username@bridgehamptonschool.com
Google account

NOTE: You don’t have to select Drive or Mail if you are satisfied with the copy/transfer process detailed
In steps 1 through 3 (above)

 

Step 4c: Once you have selected your desired data,
click the “next” button at the bottom of the screen.

 

Step 4d: Select .zip for File type and “Add to Drive” from the next window (shown below)

 

  • If you are comfortable with other compression file types, you may select those instead.
     
  • Though the screen warns that “Add to Drive” will count the compressed archive file against your storage quota, please note that G Suite For Education accounts like your username@bridgehamptonschool.com account have unlimited storage quotas.

 

Step 4e: Click the “create archive” button (shown above)

 

Step 4f: Within some number of hours, a .zip archive file will be created for you in your Google Drive folder. It will be called Takeout and it will be in the root of your drive.

 

 

Step 4g: Within your “Takeout” folder, you will see one or more .zip archive files. The maximum size of a Google .zip archive file is 2GB so if your archive is larger than 2GB, you will see it has been broken down into multiple files.

Additionally, you can run this archive/download process more than once. Each time you run it, one or more new .zip archive files will be added to this Takeout folder.

 

Step 4h: Open your Takeout folder and download your .zip archive file(s) to a computer (right-click and select “Download”). For Microsoft Windows computers, you should be able to simply double-click the downloaded .zip archive file to open it and examine its contents. On Apple computers, double-clicking on a .zip archive file will create an unzipped folder with the same name into the folder where the .zip archive file resides.

 

Step 4i: Within your downloaded .zip archive file(s), you’ll find all of your documents that you selected in Step 4b (above):
 

  • Google Drive files will be inside of a subfolder titled “Drive” and will have been converted to Microsoft Word, Excel, PowerPoint, etc. formats. If you choose to upload these files to a personal Google Drive, you can select upload conversion settings for that personal Google account that will convert uploaded Word, Excel, and PowerPoint files back into Google Docs formats if you desire.

 

  • Google Photos will be inside of a subfolder titled “Google Photos” and will be grouped by date taken.
     
  • Emails will be inside of a subfolder titled “Mail” and will be one or more .mbox file(s). These files are a Mailbox archive format used by a variety of email clients such as Thunderbird. See step 4j (below) for details of how to import your old Gmails from this .mbox file into a different email account.

 



 

Step 4j: (OPTIONAL) To import your old Gmails into a new email account, you can follow the steps outlined in one of the third-party websites sourced below:

 

 

  • ADVANCED - If you are comfortable with code and a command line interface, there is a tool called Got Your Back (GYB) that can be used
